Managing requests

Create, edit, and track requests inside an engagement's Requests tab

The Requests menu lists every request in an engagement, with tools to filter, sort, group, and edit requests directly from the list. Use this menu to manage individual requests or multiple requests in bulk.

Along with the Requests menu, you can view requests from other places inside an engagement, including:

Create a request

You can create requests in multiple different places in an engagement.

To manually create a request from scratch, follow these steps:

  1. Go to the Requests tab in your engagement.

  2. Click Create Request.

  3. Fill in the required fields.

A request tracks more than uploaded documents. Use default and custom fields help you automate workflows and keep files organized. Consider filling in these fields when you create a request (or afterwards):

  • Related sheet row: leave blank for requests that aren't tied to a specific sheet row, or choose the row this request relates to.

  • Request ID: an optional reference number. Fieldguide suggests one automatically, which you can keep or change.

  • Tags: optional, custom labels you use to organize requests.

  • Due date: sets a due date for your client.

  • Client owners: assigns the request to specific client users.

  • Copy files to a folder (autocopy): when a client uploads a file to this request, Fieldguide can save a copy to a folder you choose.

View an individual request

Select a request in the table to open it in a side panel where you can review or edit its details.

The side panel has three tabs:

  • Overview: description, related controls, date requested, due date, requested by, owners, tags, and visibility.

  • Comments: a place for firm users and client users to discuss the request. Mention someone with @ to send them an email notification.

  • Activity: a log of firm and client user activity on the request.

Use the Requests menu to view and manage requests

The table inside the Requests menu supports:

  • Filtering and sorting on every column, standard or custom, to narrow the table to exactly the requests that need attention.

  • Grouping, so you can organize the list by a field like due date, with indicators for what's overdue versus on track.

  • Customizable columns: show, hide, and reorder columns using the Manage columns icon in the top right of the Requests tab, so the table reflects what your team needs.

  • Inline editing: update requests' default or custom field values directly in the table, without opening each request.

Set a default column order

You can pre-configure the request table's column order, including custom field columns, in two ways:

  • For new engagements: set the column order inside an engagement template, then save it as a new template version. Engagements created from that template inherit the order.

  • For a single engagement: update the column order directly in the request tab's menu, which changes the default for everyone on that engagement.

Set a request's status

A request's status indicates where it stands in its lifecycle. Use the status dropdown menu to select one of the status indicators on a request.

  • Open: the default status when a request is created.

  • Ready for Review: the client has fulfilled the request and it's ready for the firm to review.

  • Changes Requested: a firm user found the client's submission insufficient and is requesting changes.

  • Complete: a firm user has reviewed the client's submission and confirmed it's sufficient.

  • Draft: a status that can be customized to any text.

Clients can set a request's status to Ready for Review by clicking Send for Review once they've uploaded the requested documents.

Set request visibility

A request's status doesn't affect its visibility to the client. See Manage client access on requests for the available visibility options and how to change them.

Edit a request

To edit a request's details, follow these steps:

  1. Open the edit menu (pencil icon) inside a request, and make desired edits.

  2. Click Update Request to save.

You can also edit some fields directly in the Requests menu table without opening a request's edit menu.

Delete a request

To delete a request, follow these steps:

  1. Open the edit menu (pencil icon) inside a request.

  2. Click Delete.

Bulk edit or delete multiple requests

You can edit or delete multiple requests at once from the Requests tab in an engagement. The values of default and custom fields can also be bulk-updated here.

Custom fields on requests

Along with the default fields, requests can also carry custom fields your firm's admins have configured. These appear as additional columns shown alongside the standard request fields both in the table and in a request's side panel.
