Using shared columns

Link sheet columns and share data across sheets

Overview

Shared columns allow you to cross-reference columns of data across sheets, eliminating the need for repetitive data entry or switching across tabs to view relevant information. Columns can be shared from sheets in the same engagement, or from separate engagements belonging to the same client.

Before you begin

Columns can be shared between sheets in the same engagement, or across different engagements. They can only be shared between engagements for the same client.

How it works

When you share a column from one sheet to another, a 2-way sync is established between the original column’s data and the shared column’s data. If you edit the column on the original sheet, those changes will reflect on the sheet it’s shared to, and vice-versa.

Adding shared columns

Identify the source and recipient sheets

Determine which sheets the column should be shared from (the source sheet) and which sheet it should be shared to (the recipient sheet).

Add shared columns

On the recipient sheet, click Add column and select “Shared columns” as the column type. Select the source sheet from the dropdown, then select which columns should be shared. The Key column will be selected by default, and cannot be de-selected.

Choose how the rows from the source sheet should be linked with the recipient sheet. The option to “automatically link rows based on Control Activity” is recommended, but you can also link rows by:

  • Automatically linking rows based on Row Key

  • Uploading an import file with a custom mapping

  • Manually linking rows

Link the Requests and Documents columns

If both your sheets have a Requests or Documents column, you can optionally link these by clicking the link icon at the top of each column on your recipient sheet. This will sync any requests or documents linked to your rows across both sheets.

Requests can be linked from other engagements. Documents folders can only be linked if they're in the same engagement.

Add additional shared columns

To share columns from another sheet, repeat the same steps above. To share additional columns from a sheet that has already been shared, remove the previously shared columns from that sheet and then re-add with the desired columns.

Removing shared columns

Remove a specific column

To remove a shared column, click the trash icon on that column in the Columns menu.

Removing a shared column will not delete the column. To delete a column, you’ll need to open the source sheet and delete it from there.

Remove all shared columns

To remove all shared columns and unlink the sheets, click the minus circle icon next to the shared Key column.

Shared column permissions

The client permissions of a shared column will reflect the permission set on the source sheet. If the client doesn’t have view or edit permission on the source sheet, they will not have permission to view or edit the shared column.

Identify whether a column is shared or local

If a sheet’s column is shared from another sheet, the column header will include a subheading with the name of the source sheet.
