User account status types

Learn about each status in the Users menu (Invited, Verified, Active, Inactive, Deleted) when a user moves between them, and where to view this

Each user in Fieldguide has a status that shows where they are in the account lifecycle. The status appears in the Users menu so admins can see, at a glance, who still needs to accept their invitation, who has signed in, and whose access has been removed.

The status field is visible to admins and anyone with permission to view and manage users.

User status types

A user's status reflects the furthest step they've reached in setting up and using their account. Here are the definitions for each user status:

  • Invited: The account has been created and the activation email sent, but the user hasn't clicked the activation link yet. They can't sign in. You can resend the invitation to users with this status.

  • Verified: The user has clicked the activation link and set their password, but hasn't completed their first sign-in. The Resend invite option doesn't appear for these users, because they've already accepted the invitation.

  • Active: The user has signed in at least once. The status shows as Active (MFA) when multi-factor authentication is enabled on the account.

  • Inactive: The account has been deactivated by an admin. The user can no longer access Fieldguide, but their data and activity history are preserved. Admins can reverse this by reactivating the user's account.

View a user's status

User statuses appear in the Status column of the Users menu.

You can use the status filter so you can narrow the list to a single status. You can filter to list to Invited, Verified, Active, or Inactive. Deleted isn't a filter option because deleted users don't appear in the Users menu.

Resend an invitation

The Resend invite option is available only for users in the Invited status (those who haven't clicked their activation link yet).

It doesn't appear for Verified users. A Verified user has already accepted the invitation and only needs to sign in, so there's nothing to resend. If a user reports that they can't find a way to resend an invitation, check their status: a Verified user should sign in or reset their password rather than wait for a new invite.
