Sync requests with Vanta

Bi-directional Vanta sync for requests and evidence

You can use the Vanta integration to keep requests in Fieldguide and Vanta synced throughout an engagement. When request sync is enabled, Fieldguide requests are synced to Vanta so clients can submit evidence in Vanta while firm users continue to manage requests inside Fieldguide.

Before you begin

Before enabling request sync on an engagement:

  • A System Admin at your firm must set up Vanta for request sync. This is a one-time setup.

  • The client must complete the following steps in their Vanta instance:

    1. Add your firm as their auditor in their Vanta settings.

    2. Create an audit in Vanta for this engagement (if they haven't already done this).

    3. Add the integration user's auditor account to that audit. The integration user is a dedicated account your System Admin set up as part of the one-time setup, and it must be added to each Vanta audit individually.

How it works

When request sync is enabled, the following are kept in sync:

  • Requests: Open, client-visible requests sync from Fieldguide to Vanta. Fields like title, description, status, due date, and owner stay in sync.

    • Requests are created in Fieldguide—any requests already in Vanta won't be pulled into Fieldguide.

    • Requests appear in Vanta without framework or control mappings; clients can optionally map them in Vanta, but this isn't required.

  • Evidence: When your client uploads files in Vanta and sets the status to Share with Auditor, the files appear in the corresponding request in Fieldguide.

    • Fieldguide updates the request status to Ready for Review.

    • If your client uploads additional files after already setting the status to Share with Auditor, they'll need to reset the status to trigger another sync.

  • Comments: Comments added in Fieldguide appear in Vanta, and comments your client adds in Vanta appear in Fieldguide.

If a request is linked to multiple Fieldguide engagements, it will only sync from the first engagement with request sync enabled. Evidence synced to that request will still be visible across all linked engagements.

Enable Vanta request sync

Follow these steps to enable request sync for an engagement. You must have an admin level role to do this.

  1. Open the engagement in Fieldguide, then go to Requests.

  2. Open the vertical ellipses menu, then select Sync requests with Vanta.

  3. Select the Vanta audit to sync this request list with. The dropdown shows all audits the integration user has access to, including audits for other clients. Make sure you select the correct audit.

  4. Click Sync requests.

Once enabled, request sync runs automatically in the background. Fieldguide displays an indicator at the top of the Requests menu and on individual requests when Vanta sync is enabled.

Only requests with an Open status and a visibility set to Clients can view will sync with Vanta. Requests that aren't able to sync will display a "sync disabled" icon in the status column of the Requests menu (visible to firm users).

Disable Vanta request sync

To disable request sync for an engagement, follow these steps.

  1. Open the engagement in Fieldguide, then go to Requests.

  2. Open the vertical ellipses menu, then select Disable request sync and confirm.

We don't recommend disabling sync while an audit is in-progress. When request sync is disabled, here's what happens:

  • Requests stop syncing between Fieldguide and Vanta. You can continue managing requests independently in Fieldguide.

  • Existing requests remain in both systems. No requests are deleted in either system.

  • Any files and comments added after you disable sync become orphaned. This means they won't sync again even if you re-enable sync.

  • If you re-enable request sync again later, it won't create duplicate requests.
