Create a firm chart of accounts

Create a financial audit framework

Overview

A chart of accounts (CoA) is a list of accounts organized into sections. Charts of accounts are used by trial balance sheets in financial audit engagements. Admins can create firm-level charts of accounts as frameworks in Fieldguide. Frameworks act as standard templates that can be reused for many engagements and client companies.

Create a financial audit framework

You can create a firm chart of accounts inside a financial audit framework. To create a new framework:

  1. Go to Admin > Frameworks.

  2. Add a new framework and select "Financial Audit" as the type.

  3. Add sections to the framework.

Import accounts to a framework

To create a chart of accounts, import accounts to a financial audit framework:

  1. Open the dropdown menu in the top-right and click Import Accounts.

  2. Download the template and open it in Excel. To create your import file, populate this spreadsheet with your accounts data. See below for tips on formatting your import file.

  3. Return to the import menu in Fieldguide and click Upload CSV or XLSX. Upload your populated import file.

Populating the import file

Each account should be added as a row in your import file. Every row must have a(n):

  • Section

    • This should be an existing section from the framework. All section names will be pre-populated in your import file, and you can add new rows, if needed.

  • Account number

  • Account name

  • Account type

    • The account type must match one of these options: Asset, Liability, Equity, Income, or Expense. Capitalize the first letter of the account type in your import file to avoid errors.

The first row of your import file is a header, and must match the header provided on the import template exactly.

Unlink accounts

Unlink accounts from the framework if you need to remove incorrectly uploaded accounts that are not needed.

To unlink an account, click unlink next to the account name.

Avoid unlinking accounts that have already been mapped to client data.
