Overview
Fieldguide allows you to store multiple versions of a document. When a document is edited and saved back to Fieldguide, the previous version of the document is retained in the version history. You can view and restore back to any previous version of a document before an engagement is archived.
Document versions can be access from the Versions tab in the document viewer. On each version, you can see the person who added that version and the date it was added.
Add a new document version
There are two ways to add a new version of a document: manually or automatically.
Automatically save a new version
This option is only available for supported Microsoft Office files, such as Word (.docx) or Excel (.xlsx)
To save a new version of your document:
View the current document in Fieldguide.
Click Edit and open your document using either Office Online or the Office Desktop app.
After editing, save your document in the Office app.
The latest edits will automatically be saved into Fieldguide as a new document version.
Manually upload a new document version
View the current document in Fieldguide and open the Versions tab.
Click ⬆️ Version and upload the new file from your computer or a supported cloud storage location.
View a previous version
To view a previous version of a document, open the Versions tab and click View on that version of the document.
Restore to a previous version
To restore to a previous version of a document, open the Versions tab and click Restore on the desired version of the document. If you restore to a previous version, the current version will also be retained in the version history.
Avoiding document version conflicts
If Fieldguide detects another user is editing the document in Office for Desktop, you'll see a blue notification in the Versions menu:
Before adding a new document version (or restoring to a previous version), make sure that other users aren't currently editing this document. If you add a new document version while a teammate is still editing an older version, your teammate's next saved version won't include your edits (though your edits can still be accessed in the document's version history).
To avoid this problem when working on documents simultaneously with others, all users should edit using Office Online.
