Workflow a Document for Client Review or Signature

Overview

Tired of back-and-forth emails? You clients can review and sign documents for your Engagement all without leaving Fieldguide. This guide will show you how to use Requests to streamline your document review workflow.

Before you start

This guide involves working with Requests and Documents in an Engagement. Before you start, you should already have performed the initial setup of your Engagement.

Step-by-step guide

Step 1: Add your document to the Engagement

If you have a Template for this document, generate it now. Your Template will pull in the data from your Engagement’s Forms to automatically create a fully-formatted document. If your document is saved outside of Fieldguide, upload it to the Documents tab of your Engagement now.

Step 2: Create a Request

Create a Request for sharing your document with the client. It will later be used for your client to share the signed version with you.

  1. Give your Request a title and description that helps your client understand the document type and the required action (such as “Management Assertion letter for review and signature”).

  2. Assign this to the client by setting them as the Request Owner.

  3. Enable the setting Notify Request Owners by email to alert your client of the Request.

  4. In the Automation settings, enable autocopy so that the signed version of the document will be automatically added to your Engagement Documents once submitted by the client. If your Request isn’t linked to a Sheet row, you will need to manually select a destination folder.

  5. Create an auto-rename rule to add “signed” or “reviewed” to the end of the file name. This will make it easy to identify the signed version of the document once the client shares it with you.

Step 3: Add your document to the Request

In the Documents tab of your Engagement, navigate to the folder where your document is located. To add it to your Request, open the 3-dots menu and select Copy > Copy to Request. Select your Request from the drop-down, then click Copy to Requests.

Step 4: Collect your client’s signed document

Your client can access this Request to download and sign your document. Once done, they can upload their signed copy to the Request and submit it for your review.
