The Firm IT Admin role is a built-in role for firms that want to separate user management from other administrative responsibilities. When enabled, designated IT admins can create, update, and delete firm user accounts without needing System Admin or Firm Admin access.
What IT Admin can do
Users with the Firm IT Admin role can:
Manage firm user accounts: create, update, deactivate, and delete firm users
Update firm company settings: firm name, password expiration policy, and the require MFA setting
IT Admins have read-only access to everything else in Fieldguide. They can't access or modify engagements, templates, clients, controls, or SSO configuration.
How IT Admin affects other admin roles
Enabling IT Admin makes the role available to assign to users in your firm. By default, this doesn't change what other admin roles can do. System Admins and Firm Admins retain their existing user management permissions.
Optionally, your firm can be configured so that only IT Admins can manage firm users. In this configuration:
System Admins and Firm Admins can no longer create or edit firm user accounts
Only users with the Firm IT Admin role can perform these actions
IT Admin vs. Custom Roles
Fieldguide also supports custom roles, which let firm admins create roles with specific permission sets. These are different tools for different needs:
Custom Roles add or remove permissions on a role while leaving the default admin roles unchanged. Adding a user-management permission to a custom role means that role can manage users alongside existing admins.
Firm IT Admin reorganizes where user management lives across the firm. When configured with the user-management restriction, it moves that responsibility exclusively to IT Admins and removes it from System Admin and Firm Admin.
Use IT Admin when your firm needs clear separation of duties — specifically, when you want only a designated group to have permission to manage firm user accounts.
Using IT Admin alongside other roles
A user can only hold one admin role in Fieldguide. If someone needs both IT Admin capabilities and standard admin access, they'll need two separate Fieldguide accounts: one with the IT Admin role and one with their admin role. They can switch between accounts depending on what they need to do.

The Firm IT Admin role is available by request. Contact Fieldguide support to enable it for your firm. When you reach out, let your support contact know whether you'd also like to restrict firm user management to IT Admins only, or leave other admin roles' user management access unchanged.
