Sign Offs columns on sheets let team members sign off on rows as part of the review process. The sign-off experience varies depending on the sign-off workflow settings on your sheet. Sign off on a row
With the default sign-off workflow
The Sign Offs column shows a Preparer button and a Reviewer button for each row. Click either button to record your sign-off—any user can sign off as either role. When a sign-off is recorded, the button is replaced by the user's icon; hover over it to see the user's name and the date and time of the sign-off. To remove a sign-off, click the user's icon again.
With a custom sign-off workflow
Limited release: The custom sign-off workflows feature is currently in early access and may not be enabled for your firm. Reach out to your Customer Success Manager if you'd like to learn more.
When a custom sign-off workflow is enabled, the Sign Offs column is replaced by a Phase column and a Status column. The Status column shows each row's current sign-off status based on your role in the workflow. Hover over a row's status to see a breakdown of sign-off progress by phase and role. You can also remove an existing sign-off from this hover panel.
When it's your turn to sign off, a row shows Waiting on you with a counter indicating sign-off progress for the current phase (for example, (0/1) Waiting on you). Click Sign off on the row to record your sign-off.
After you sign off:
If other roles in the same phase still need to sign off, your status changes to Pending others.
If your sign-off completes the phase, the row advances to the next phase and your status changes to Pending others.
Once all phases are complete, the status changes to Done.
Send back a row
Send-back is available when a custom sign-off workflow is enabled. Reviewers can send a row back to the Prepare phase if it needs more work. Sending back a row clears the existing sign-offs for that row.
To send back a row, follow these steps:
Use the dropdown menu in the Phase column to change the phase to Prepare.
In the Send Back to: Prepare dialog, confirm the assigned role and optionally enable Create sign-off Task to leave a review note for the preparer.
Click Send back.
After a send-back, the Phase column shows Prepare: Sent Back for that row, distinguishing it from rows that simply haven't been prepared yet.
Address a send-back and re-sign
As the preparer, when a row is sent back to you, the Phase column shows Prepare: Sent Back. If the reviewer left a sign-off task when sending back the row, it will appear on the row. When ready, sign off on the row again to return it to the Review phase.
The reviewer will see the row as Waiting on you with a Review: Returned status, indicating it came back after a send-back. They can open a sign-off task on the row and select View changes since task was created to check what the preparer changed since the send-back.
Filter rows by sign-off status
Sign Offs columns support filtering to help you focus on specific rows. The available filter options vary by sign-off workflow type.
With a custom sign-off workflow, click the filter icon on the Status column. The filter has three sections:
Status: filter by sign-off status (Pending others, Waiting on you, or Done).
Role: filter by engagement role (for example, to see all rows waiting on a specific role).
Assigned to: filter by individual team member.
