Configure departments

Use departments to manage engagement visibility

Overview

Departments control which engagements firm users can be added to. If an engagement is assigned to a department, only users who are in that department can be added to it.

How it works

  1. Create departments in your firm's settings.

  2. Add users to departments.

  3. Add an engagement to a department. This will prevent anyone from adding users outside this department to the engagement.

Users can only be added to engagements that are in their department (and engagements that don't have a department). Users who aren't in an engagement's department won't appear as an option inside the Add users menu in the engagement settings. Departments don't automatically add users to engagements — they only control whether a user is allowed to be added.

Configure departments

Manage your firm's departments under Settings > Departments. Create, delete, or rename departments here. Only system admins can configure departments.

Click on a department to view its engagements and users.

Click Configure to open the setup wizard, where you can use filters and bulk actions to assign departments to engagements and users.

Set a user's department

Add or remove a user's department in their settings under Settings > Users. You can add a user to multiple departments. If you remove a user from a department, the user will be removed from any engagements assigned to that department.

Users with any firm role can be added to a department, but only certain roles are affected by departments. Users who are not affected can access engagements under any department.

Set an engagement's department

Add or remove an engagement's department under Settings > Information. You can only add an engagement to one department. If you add or change an engagement's department, users not part of the department will be removed from the engagement. If you don't add an engagement to a department, any firm user can be added to the engagement.
